Event planners often experience a great deal of stress when making sure all aspects of their upcoming functions are not only recalled and completed correctly but also presented successfully without a hitch. There is always much to prepare no matter what type of event you are putting on, and actions, as well as requirements, can change at any moment.

So, what are some things you can do to make sure you can swim through the stress and impress your guests? We devised the following checklist of items you can consider to help you plan your next event impressively.

Strategies for Event Planning

Jump onto planning your event immediately. Most event planners feel short on time, so you can never start early enough. Big events should require about four months of planning, with smaller ones requiring about two months.

Create a checklist for your event. Make sure that you write down all of the expectations and create deadlines to ensure everything gets done.’

Start talking to vendors early. The earlier you start, the more quotes you can obtain so that you can accomplish the best for the lowest price possible.

Assign responsibilities to those working with you. Make sure you are clear on who does what and keep track of it, to break up the stress a bit.

Make sure to advertise your event on social media. Using social media is a great way to attract other individuals that might be interested in the event.

Keep a running binder for each event you host, making sure you keep track of everything you are doing for that event. For instance, document things like vendors and other contacts, as you do your initial early planning.

Remember to have a backup plan for everything. It is very possible that certain things you need may come late or not at all. Therefore, you want to make sure you have thought of ways to work around these issues.

About a week before the event, make sure you double check every aspect of the event, ensuring that things will run smoothly. Start creating second plans for things when the initial options you picked may fall through.

Plan to take pictures at each event, or have a photographer take pictures so that you can document the actions of all of your events. Create a portfolio to attract more customers in the future.
